How to do it

  1. Switch the function on for the plan.

Open Billing, then Service Plans, then the plan. Pick Included functions on the left side bar. Turn on Security awareness training. Every client with an active subscription to that plan is now in scope. A new client you sell it to is in scope from the day you add the plan.

  2. Check the program is on and each client has a country.

The program switch is Security Awareness Program under Settings > Security > CyberSentry. Check it is on. The client's country picks the laws. If a client has no country, set a Default Client Country under Settings > Company > Company Profile. Or fill in the country on the client's own record.

  3. Make a list of clients with no training for this year.

Open CyberSentry > Awareness > Security Awareness Training. Each row shows a Client, a Year and a Status. Some clients may have no row for this year. They need a new one.

  4. Write one training per client.

Press New Training. Pick the client and the year. Check the laws it will cite, then press Generate Training. It takes one to three minutes, and you can start the next client while you wait.

  5. Read it, edit it, publish it.

Read the lessons and the knowledge check. Press Edit if you want to change them, then Save. Open the actions menu next to Edit and choose Publish. Only a published training can reach people.

  6. Assign only when you want a due date.

The daily sweep already enrolls everyone at the client who can sign in. Choose Assign to set a due date, or to enroll people right now. Someone who is only a contact on file cannot sign in, so they are skipped. Give them access on the client's Portal Access tab first.

  7. Let the reminders chase people.

Open a training and pick Training Records on the left side bar. It lists each person with a due date and a status. The daily sweep reminds anyone still pending. It sends one every 7 days, every 2 days near the due date, or every 14 days with no due date. It stops after 10 reminders.

  8. Export the proof.

Open CyberSentry > Awareness > Training Records. It lists each finished training for all clients, new ones first. Total Completions and Users Trained sit at the top. Press Export to get the full set as a CSV for an audit or for insurance.

  9. Ask Elise to do a client for you.

Ask her in chat. Say: "Write the 2026 security awareness training for Acme Dental." Then say: "Assign it to everyone at Acme Dental, due November 30." She asks you to say yes to each step.

  10. Next year, start again at step 3.

Write a new training for each client with the new year. The sweep covers the current year, so the new training is the one that enrolls people. Last year's completion records stay on the record. If you need to retire a training that someone already completed, use Archive. Delete only works while nobody has completed it.

What you will have

  • One training for every client that should have one, for the current year.
  • Everyone at each client who can sign in enrolled without you chasing them.
  • A record you can export for an audit or for insurance.
  • The same job done again next year in a few minutes.

Why it works this way: Run security training for every client, every year

The plan decides who gets a training. A client shows in the New Training picker only if its plan has Security awareness training. Add it to a plan once, and every client on that plan is in.

The training belongs to one client and one year. It is written in that client's own rules, so it cannot be one copy for all. A second Generate for the same client and year is refused until you archive or delete the first.

Publishing is enough to enroll people. The daily sweep tops up every published training for the current year. A new hire gets it the next morning, with reminders.

The record stays. Training Records lists every completed training across all clients. It lists them across all clients, whether or not a client is still on the plan.

Other ways to do this: Run security training for every client, every year

Ask Elise for every client

Ask Elise to write the training for one client at a time, then publish each one from the list.

You would rather start from chat than fill in the form.

If it did not work: Run security training for every client, every year

  • A client may be missing from the New Training picker. Then its plan lacks Security awareness training. Add it under Included functions on the plan.
  • If a new hire has no training, check that they can sign in. Give them access under Clients > the client > Users > Portal Access.
  • If Generate is refused, that client already has a training for that year. Open it instead.
  • If a training cites general frameworks, check the client's country. Only the US, Canada, the UK and EU countries get their own laws.
