How discounts work in GoTenix

Give a client a percent or fixed-amount discount that lasts a set number of bills and then stops by itself, and see every client's discounts in one list.

  1. Client picker

Top right of the Billing list, reading All clients. Pick one client and the list holds to their discounts only. It filters this view and changes nothing.

  2. The rows

One row per discount: the client, what it applies to, how much it takes off, how long it runs, the reason, and whether it is still active. Click a client name to open that client's own Discounts page, which is where discounts are made, changed and ended.

Where a discount starts

  1. New Discount

On a client's own Discounts page, the New Discount button starts one. It appears for staff with edit access to Billing.

The New Discount form

  1. Scope

Subscription, Service Plan or Whole client. Subscription and Service Plan ask you to pick which one. Whole client needs no target and covers all of that client's billing. Scope, target and type are fixed once the discount is created.

  2. Percentage or fixed amount

A percentage discount takes a percent off (0 to 100). A fixed one takes an amount off. For example: 10 percent off for 3 bills as a loyalty reward, a 250 credit for 1 bill to make up for an onboarding delay, or a 15 percent non-profit rate left open ended.

  3. Duration (terms)

How many billed terms the discount runs for. Leave it blank and it is open ended. The Duration column reads Open-ended, or a countdown such as 3 of 3 terms left.

  4. Starts and Ends

Optional dates for the window the discount may apply in. An end date before the start date is not accepted.

  5. Reason and invoice line label

The reason is why the discount was granted and is kept for the record. The invoice line label is what the client reads on their invoice, and it defaults to the reason.

  6. QuickBooks item

The item the reduction line posts against. While QuickBooks is connected this is required, and Create Discount stays greyed out until one is picked. With no accounting provider connected the field is optional and the line goes out under its invoice label.

  7. Create Discount

Greyed out until the scope (and its target), value and reason are filled in, plus a QuickBooks item when QuickBooks is connected.

Edit and Expire

  1. Edit and Expire

Click the row menu on an active row. Edit reopens it with scope, target and type shown as fixed and the rest editable; changes apply to future invoices only. Expire asks you to confirm, names the discount, and says future billing runs stop applying it while invoices already generated keep their amounts. Both appear only on active rows.

  2. Other ways to lower a bill

A discount is not the only way. The service plan has Prepay Discounts, with Quarterly Prepay and Annual Prepay, which take a percent or an amount off the invoice when a client pays quarterly or annually. A client's Billing section also has Exemptions, which exclude users, devices and license seats from that client's automated billing count.

Why it works this way: How discounts work in GoTenix

A discount never rewrites the agreed price. The invoice is still worked out at the full plan price, and the discount is added under it as its own reduction line, so the record shows what was charged and what came off. The total is floored at zero, and a 100 percent discount for one term forgives that term on the record.

Discounts that match a subscription stack, each as its own line on the invoice, so a loyalty discount for the whole client and a one-off promo on one plan both show.

A discount belongs to one client. That is why the list under Billing is a read across clients and carries no buttons, and why every create, edit and expire happens on that client's own Discounts page.

Expire is forward only. Future billing runs stop applying it, and invoices already generated keep the amounts they billed. An expired row stays on the page reading Inactive rather than disappearing, so the record of what was granted survives.

Duration counts billed terms, not days. Each time an invoice carrying the discount is finalised, one term is used up and the row counts down; an invoice that is rejected or deleted while it waits for approval does not use one. When the last term is used the discount stops applying and goes inactive on its own, so the client returns to the full price without anyone remembering to do it. Left blank, it is open ended and never stops.

Questions this page answers

What is on the Discounts page?

It lists every discount across all clients. Each row shows the client, what the discount applies to, how much it takes off, how long it runs, the reason, and whether it is still active. Use the picker at the top right to hold the list to one client. This page is a view only. You cannot add or change a discount here.

How do I add or change a discount?

Discounts belong to one client, so they are set up on that client. Click the client name in a row. That opens their own Discounts page. With edit rights on Billing you get a New Discount button there, and each active row gets Edit and Expire in its row menu. Expire stops future billing runs from applying it. Invoices already made keep the amounts they billed.

What does the Discount column show?

It shows what comes off the bill. A percent discount shows a percent. A fixed one shows an amount. The invoice is still worked out at the full plan price. The discount is then added as its own reduction line under it. The plan price itself is never rewritten, and the total never goes below zero.

What does the Duration column mean?

It is how many billing terms the discount runs for. Open-ended means it never stops. A row reading 3 of 6 terms left counts down each time the discount is billed. When it runs out, the client goes back to the full price on their own.
