How to do it

  1. Open a saved report and click New schedule in its Schedule card.

Open Reports, then Saved Reports, then the report. The Schedule card sits under its chart or table. A report with no schedule reads No schedule yet. This report is only sent when someone opens it.

  2. Pick Repeats, the day, and the time.

Repeats offers Every day, Every week or Every month. Every week adds a Day of the week field. Every month adds a Day of the month field, and 29, 30 or 31 runs on the last day in a shorter month, so a month is never skipped. Time is a plain clock field, and the note under it says it is this instance's time.

Pick Repeats, the day, and the time.
  3. Click Add recipient and pick who gets it.

Type a name or an email address. The search finds staff and client contacts, and a full address with no account on this instance can be added too: pick Send to and the address. Add as many as you need, up to 20 on one schedule. Addresses are lowercased and duplicates are dropped.

  4. Click Create.

Sent to shows each person as a chip. Create adds the schedule. Cancel discards the form without saving anything.

  5. Read the new row in the Schedule table.

When names the cadence in plain words, such as Every Monday at 09:00. Sent to lists the recipients. Last send reads Not sent yet until the first occurrence goes out, then Sent with when. A send that could not go out shows the reason in red, for example Nothing was sent: this instance has no connected mailbox to send from.

  6. Click the row to change it, then click Save.

Clicking anywhere on a schedule's row reopens the same form, filled in. Turn off pauses a schedule and Turn on brings it back. There is no inline edit on the row itself.

Note: The Trash icon on a row deletes the schedule after a confirm dialog that says reports already sent are not recalled. Turn off is the reversible choice.
  7. Know what lands in the inbox.

The email is called the report's name followed by scheduled report, with the CSV attached and the dates it covers in the body. The body also says how to change or stop it: open the report and edit its Schedule card. If the person who created the schedule is deactivated, Last send says so and the schedule needs recreating under an active account.

What you will have

  • A saved report arrives in the right inboxes on its own, every day, every week or every month.
  • Staff, client contacts or any typed email address can be on the send, up to 20 people on one schedule.
  • You can read what each schedule did last, pause it, change it or delete it without touching the report.

Why it works this way: How to email a report to your team or clients on a schedule

The time you pick is this instance's own clock, not the reader's and not a machine's. The page says so above the form.

Everyone on a schedule is in the To line of the same email, so they can see each other. Give each client their own schedule when clients should not see one another.

Each occurrence is one email with the CSV attached, sent through your own connected mailbox, with no fallback sender behind it.

The report is run for the email with the access of the person who created the schedule.

Other ways to do this: How to email a report to your team or clients on a schedule

Download CSV

Open the report and click the CSV button next to Chart and Table.

A one-off copy is needed right now instead of a standing schedule.

Pin to Dashboard

Use the report card's Actions menu on Reports > Saved Reports.

The report should live on the dashboard for people who check in rather than land in an inbox on a cadence.

If it did not work: How to email a report to your team or clients on a schedule

  • If this instance has no mailbox connected, the schedule still saves, but the next occurrence shows in Last send, in red, that nothing was sent because no mailbox is connected, rather than sending from someone else's address. Connect mail first, then the next occurrence goes out.
  • Deleting the saved report itself removes every schedule on it.

Questions this page answers

Can this report be emailed on a schedule?

Yes. Open the report and use the Schedule card. Pick how often it goes out, pick a time, and add the people to send it to. Each send is one email with the CSV file on it. It leaves from your own mailbox, and the times are this instance's clock.
