How to do it

  1. Open Settings, then System, then Setup Wizards, and pick the wizard that matches your client.

Both sit under the Integrations group. Set up Microsoft 365 has 4 lessons. Set up Google Workspace has 2.

  2. Set up Microsoft 365, lesson 1, Connect Microsoft & authorize tenants: check Verified, then consent each client.

The lesson turns green when your own Microsoft connection is live. The link Run Connect Microsoft takes you to that wizard if it is not. Consent is not checked here. You do it per client: open the client's Overview and use the banner at the top. A client with no tenant linked yet shows "Link Microsoft Tenant" with a Link & Consent button. A client already linked shows "Microsoft Graph consent required" with a Grant Consent button. The Microsoft banner shows for a client set to use Microsoft sign-in, and the Google banner for a client set to use Google. Someone who is a Global Admin on that client's tenant has to sign in and approve.

Note: The copy icon next to the button gives you a link to send to the client's admin. The Ignore button leaves that client out of Microsoft sync and CyberSentry.
  3. Lesson 2, License Renewal Lookahead (days): click Apply recommended, or Customize.

The suggested value is 60. It sets how many days ahead upcoming Microsoft license renewals are flagged in meeting agendas and client reviews. 60 days leaves time to right-size seat counts before a renewal locks in.

  4. Lesson 3, Agreement Renewal Warning (days): click Apply recommended, or Customize.

The suggested value is 90. It sets how many days ahead to warn about Microsoft agreement renewals synced from your client tenants. 90 days leaves time for a conversation with the client first.

  5. Lesson 4, How this runs day to day: read it and click Got it.

Every consented tenant syncs again on its own every six hours. Renewals inside your windows show on the nightly agenda built at 2 AM and on client reviews. The 5 AM health check tests each tenant's consent again. Per client, consent is a one-time job: do it when you onboard them, and again if the check flags the grant.

  6. Set up Google Workspace, lesson 1, Authorize Google Workspace Domains: consent each client's domain.

Click Open Clients, open a client that uses Google, and on its Overview click Link & Consent on the "Link Google Workspace" banner. The person who clicks signs in as that client's Google admin. The lesson turns green once at least one domain has consented. Repeat for each domain you manage.

  7. Lesson 2, How this runs day to day: read it and click Got it.

A consented domain syncs again every six hours alongside the Microsoft tenants. The 5 AM health check also tests the Google grant, so a revoked or expired grant shows up as a warning. Repeat the consent button if it does.

What you will have

  • Link a client's Microsoft 365 tenant or Google Workspace domain with that client's own admin consent.
  • Set how early license and agreement renewals are flagged.
  • Know what runs by itself afterwards.

Why it works this way: How to use the Set up Microsoft 365 and Set up Google Workspace wizards

Your own Microsoft connection lets the portal talk to Microsoft, but each client's data needs that client's own consent. Consent is per client. After it is given, the client's users, licenses and devices sync in on their own.

Google Workspace works the same way, with no master Google connection to set up first. You open a Google client, run the consent button on its Overview, and that domain starts syncing.

You need The Super Admin or Admin role in your portal, on an MSP setup · For Microsoft 365: the Connect Microsoft wizard is green · A Global Admin on the client's Microsoft tenant, or an admin on the client's Google Workspace domain

If it did not work: How to use the Set up Microsoft 365 and Set up Google Workspace wizards

  • A lesson says "Not connected yet": for Microsoft 365, run the Connect Microsoft wizard first; for Google Workspace, finish consent on at least one client and click Re-check.
  • A client's users and licenses are not appearing: a client without consent has nothing to sync. Open its Overview and look for the consent banner.
  • A silent client: a domain that stopped syncing looks just like a domain with no new hires. The daily health check is what flags a lost grant, so act on its warning.
