How to do it
Open Settings, then System, then Setup Wizards, and click Make GoTenix my PSA.
The page is called Guided setup. Wizards are grouped by area, and this one is under Integrations. It has 7 lessons. Only a Super Admin or an Admin can open it, and it only appears when the MSP module is on. Without that module the wizard is not in the list and its address shows Page not found.
Read the introduction and click Start the lessons.
If you have started before, the button reads "Continue: lesson" with the next lesson number, and "Review the lessons" once every lesson is done. Back and Next let you read ahead without acting.
Lesson 1, PSA write-back is already off for good: read it, then click Got it.
While a PSA is connected, its tickets mirror in read-only. Replies and status changes never go back to it, for any connected PSA. There is nothing to switch on or off here. The setting that used to control it only shows Off now and cannot be changed. Open PSA Integration takes you to the PSA card, where disconnecting is the real cutover: every mirrored ticket becomes native and every automated door arms.
Lesson 2, Auto-approve generated invoices: click Apply recommended to keep it off.
This decides whether invoices the portal makes go out on their own or wait in Pending Approval for a person to look first. Keep it off until you trust the totals, because a wrong invoice costs more goodwill than a late one. You can turn it on later under Settings, then Billing & Pricing, once a few cycles have run clean.
Lesson 3, Create invoice when a quote is accepted: click Apply recommended to turn it on.
When a client accepts a quote, the portal makes an invoice from the accepted items right away. It is not sent: it shows as Outstanding, and someone still reviews it and clicks Send. This closes the gap between a client saying yes and a client being billed, where accepted work can go unbilled. The setting automates the creation, not the sending.
Lesson 4, Show plan value and discounts: click Apply recommended to turn it on.
When a client pays less than a plan's list price, the invoice shows the list price and the discount as its own line, so the client sees what the discount is worth. This changes how the invoice reads only. It never changes the amount charged.
Lesson 5, Prorate the first month: click Apply recommended to turn it on.
A client who starts a plan part-way through a cycle is charged for a partial first month. The amount is worked out from the subscription start date.
Lesson 6, Prorate mid-cycle changes: click Apply recommended to turn it on.
When a client's user or device count goes up between invoices, the part-month difference is added to the next invoice. Without it, seats added mid-month ride free until the next cycle. The catch-up line shows up on its own on the next generated invoice.
Lesson 7, How this runs day to day: read it and click Got it.
With write-back off, your old PSA is out of the loop and the portal runs the desk alone. Tickets close themselves each hour once they sit past their status timer. SLA deadlines are checked each hour. Subscription invoices are made at 7 AM on each client's cycle day. Ticket charges, meaning issued items plus billable time, are billed as one invoice per client on the 1st of the month. Each week, clear the Pending Approval queue. Each month, review the 1st-of-month ticket charges before they go out. Once a few cycles come out clean, you can turn auto-approve on.
When the last lesson is done, check the banner and click See what's next.
The page says "All steps reviewed" and counts how many lessons you applied and skipped. See what's next returns to the wizard list, where the wizard shows Done. Skip leaves any setting as it is.
What you will have
- Know what the wizard changes and what it leaves alone.
- Set up invoice approval, invoices from accepted quotes, plan value display and both kinds of proration.
- Know what the portal does on its own once your old PSA is out of the loop.
Why it works this way: How to use the Make GoTenix my PSA wizard
The portal can run in two ways. Alongside your PSA, it mirrors your tickets in as read-only copies, and nothing ever writes back. As your PSA, the portal is the only place the team works: tickets, time and billing all live here.
Cutting over is one decision plus a housekeeping step. The wizard handles the housekeeping: it turns on the billing automation your old PSA used to own. The decision is yours: disconnect the old PSA when your team is ready. That is the moment mirrored tickets become native tickets.
The theme is to automate the hand-offs and keep a person on the approvals until you trust the totals.
In the wizard, the name of your connected PSA, such as Autotask or HaloPSA, appears wherever this article says the old PSA. With none connected, it says your PSA.
Other ways to do this: How to use the Make GoTenix my PSA wizard
Change these settings on their own pages
Open Settings, then Billing & Pricing for invoice approval and proration. Open Integrations, then PSA for the connection itself.
If it did not work: How to use the Make GoTenix my PSA wizard
- You do not see Make GoTenix my PSA in the list: it needs the MSP module, and only a Super Admin or an Admin can run it.
- You look for a write-back switch: there is none. Write-back is off for every connected PSA and cannot be changed.
- Your old PSA tickets are still read-only: they stay that way until you disconnect the PSA from its card. Disconnecting is what makes them native.
